Bell Tent Hire Terms & Conditions
THE CLIENT IS STRONGLY RECOMMENDED TO TAKE OUT SUITABLE INSURANCE AS THE CLIENT WILL STILL BE LIABLE TO PAY ANY MONIES OWING IF THE EVENT FOR WHICH THE CLIENT HAS HIRED EQUIPMENT IS CANCELLED OR POSTPONED FOR ANY REASON.
1. Booking & Payment
1.1 A booking is confirmed once a deposit or full payment has been received and confirmed in writing by the Company.
1.2 The deposit is refundable if the booking is cancelled within 14 days of the original booking date. After this period, the deposit becomes non-refundable.
1.3 The Client agrees to pay a 20% booking deposit, with the remaining balance due no later than 28 days prior to the hire date.
1.4 Full payment will be due and may be automatically charged 28 days prior to the booking date.
1.5 The Company reserves the right not to provide equipment if full payment is not received by the due date.
1.6 Interest may be charged on outstanding balances at a rate of 4% per annum above Lloyds Bank Plc base rate.
2. Acceptance of Terms
2.1 All orders are accepted subject to these Terms & Conditions.
2.2 By confirming a booking or allowing work to proceed, the Client is deemed to have accepted this Agreement in full.
3. Hire Period & Company Responsibilities
3.1 The Company will deliver and erect the equipment on or before the agreed setup date.
3.2 The Company will dismantle and remove equipment after the agreed hire period.
3.3 The Company will use reasonable care and skill in delivering its services.
4. Client Responsibilities
The Client agrees:
4.1 To provide a suitable, level site with safe access and adequate space.
4.2 To provide a clear plan of the setup area, including underground services. The Company will not be responsible for damage to underground pipes or cables.
4.3 To obtain all necessary permissions, licences, and permits (including landowner consent, local authority approvals, and safety authorities where required).
4.4 To provide power supply (if required) within 15 metres of the equipment.
4.5 Not to:
-
Enter equipment during erection or dismantling
-
Smoke in or within 3 metres of tents
-
Use naked flames, candles, heaters, or cooking equipment without written permission
-
Keep animals inside tents without prior written consent
-
Tamper with or attach items to the equipment
4.6 To keep tents secure and closed when not in use.
5. Weather & Safety
5.1 Tents are weather-resistant but not extreme-weather proof.
5.2 The Company may dismantle equipment in unsafe weather conditions without liability.
5.3 Delays due to weather or other circumstances outside the Company’s control will not result in compensation.
6. Damage, Loss & Cleaning
6.1 The Client is responsible for the equipment for the full hire period.
6.2 All equipment must be returned in the same condition provided (fair wear and tear excepted).
6.3 The Client must notify the Company of any issues before use; otherwise, responsibility remains with the Client.
Damage Charges
6.4 The Client will be charged for any loss or damage (including excessive soiling) to:

Bell tents (canvas, poles, zips, groundsheet)
-
Beds, mattresses, and bedding
-
Beanbags and soft furnishings
-
Rugs, lighting, and accessories
6.5 This includes:
-
Stains (food, drink, mud, makeup)
-
Burns or scorch marks
-
Tears or structural damage
-
Breakages
-
Pet-related damage
6.6 Full replacement cost will be charged where items are beyond repair.
6.7 Cleaning charges will apply where items are excessively dirty.
7. Damage to Site
7.1 The Client is responsible for any damage to the site unless caused by Company negligence.
8. Variations
8.1 Hire charges are based on the site conditions described at booking.
8.2 Changes in positioning, access, or site conditions may result in additional charges.
8.3 No variation of this agreement is valid unless confirmed in writing.
9. Cancellation Policy
9.1 Either party may cancel within 14 days of booking with a full refund.
9.2 After 14 days:

Cancellations may incur 50% of the total hire charge
-
Cancellations within 28 days of the event will be charged 100% of the hire charge
9.3 Cancellation must be confirmed in writing via email or phone.
9.4 The Client is strongly recommended to take out suitable insurance, as all monies remain payable if the event is cancelled or postponed for any reason.
10. Insurance Recommendation
10.1 The Client is strongly advised to obtain appropriate insurance to cover:

Cancellation or postponement
-
Damage to equipment
-
Public liability
10.2 The Client remains fully liable for all charges regardless of event cancellation.
11. Liability
11.1 The Company is not liable for:
-
Loss of profits
-
Indirect or consequential losses
11.2 Total liability is limited to the amount paid by the Client.
11.3 Nothing excludes liability for death, personal injury, or fraud.
12. Third Party Liability
12.1 The Client will indemnify the Company against claims for injury or damage unless caused by Company negligence.
13. Airbeds
13.1 Airbeds may lose air during use.
13.2 The Client is responsible for topping them up if required.
13.3 No refunds will be given for this.
14. Tent Allocation
14.1 The Company is not responsible for guest allocation to tents.
14.2 No refunds will be given for guest arrangement issues.
15. Force Majeure
15.1 The Company is not liable for failure to perform due to events beyond its control (including weather, pandemics, or government action).
15.2 If the event is cancelled or postponed for any reason, all monies remain payable.
16. Third Party Rights
16.1 No third party may enforce any part of this agreement.
17. Governing Law
17.1 This Agreement is governed by the laws of England and Wales.
17.2 Any disputes will be subject to the exclusive jurisdiction of English courts.
18. Agreement
18.1 By confirming a booking, the Client agrees to these Terms & Conditions in full.
Definitions
'Company' is Beautiful Bell Tents based at Hesketh Road, Yardley Gobion, Towcester, NN12 7TS.
'Client' is the person hiring the equipment from the company.
'Equipment' is the bell tent(s) and other materials specified in the Invoice and nothing else.
'Hire Charge' is the amount payable by the Client to the Company as specified on the Invoice.
'Invoice' is the form issued by the Company to the Client requesting payment of the Hire Charge and containing details of the equipment and period of hire.
'Period of Hire' is the period between completing the set up of the bell tent(s) and the dismantling.
